When your ceremony takes place at a different location than your reception, there are a few things you need to consider. If you skip out on planning this one you could potentially lose of a few guests due to confusion, so let us help you think it through and keep all your guests present and happy!
When booking venues, try to minimize the distance between the ceremony and reception as much as you possibly can. People are happy to come and celebrate with you, but remember they are spending well-earned time and money in order to do so. The more considerate you can be of their travel time and convenience, the more willing they’ll be to attend.
The ceremony officiant holds a major role in event transition. Make sure that person clearly understands what it is you need your guests to do so that instructions will be articulated accurately. Also, you may want to have a few ushers or groomsman hang back after the wedding party departs in order to assist people in the transition. Have them dismiss guests in an orderly manner armed with driving directions to the reception venue should someone need them.
Have official hosts and/or hostesses greet your guests as they come into the reception venue. They will be able to easily help your guests find what they need: gift book, guest book, restrooms, or assistance in finding their seats. It might be nice to have a coat check available for inclement weather, and appropriate beverages and appetizers are always a welcome sight!
Now is the time the DJ, MC or Bandleader turns on their expertise. Professionals will always meet with you prior to the wedding to make sure they have gone through every detail of the evening’s timeline and that it meets your expectations. They are great at keeping the flow, but just make sure you make your entrance in a timely fashion…there’s only so long people want to wait for the main attraction!
Just keep thinking “guest friendly”. That will help you easily avoid awkward moments or uncomfortable time stretches.
